Track Changes, as the term suggests, is a feature in that helps keep track of the revisions made to a document. This feature is commonly used when two or more users work on the same document or when a document passes through a review cycle.

Let us assume that you work on a Microsoft Excel Spreadsheet and forward it to your peers for review. The reviewers would turn on the 'Track Changes' feature and then make changes to the document, if any. This will help you to know the suggestions made by the reviewers. This article the steps for using 'Track Changes' with Microsoft Excel 2003.

  1. You can enable 'Track Changes' by selecting from the Excel menu, Tools > Track Changes > Highlight Changes. 'Highlight Changes' window is displayed.

  3. Select 'Track changes while editing . . ' checkbox.
  4. Select 'When' and 'Who' checkbox and choose the required option.
  5. Select 'Highlight Changes on Screen' checkbox
  6. Click the 'OK' button and click 'OK' at the prompt that appears (Sharing Workbook message)

  7. Make changes to the Excel spreadheet as required. As 'Highlight Changes on Screen' is checked, note that the changes made to cells are highlighted with a 'pointer'
    • Select Tools > Track Changs > Accept or Reject Changes from the menu. 'Select Changes to Accept or Reject' window appears.

    • Select changes to accept by choosing 'When' and 'Who' options
    • Click 'OK' button. 'Accept or Reject changes' window appears. Review the changes and accept or reject them as required.
    • You can also list the changes made on a new sheet and review them. Select Tools > Track Changes > Hightlight Changes from the menu. Select 'List changes on a new sheet' and click 'OK'.
    • Select Tools > Share Workbook from the menu
    • Open 'Advanced' tabbed region
    • Change the days in 'Keep change history for' field
    • Click 'OK'

    Note

    By default Microsoft Excel retains the history of changes for 30 days. If you wish to retain the changes for more than 30 days, do the following:
