About Oracle Tutor
Oracle Tutor is Oracle's training product for Oracle Applications that helps in documenting business processes, developing course material, and publishing the deliverables either online or in the form of printed guides. It is a courseware and business process development tool for Oracle Applications.
Oracle Tutor has two components, Author and Publisher. Author is a template that works with Microsoft Word and is used to document business processes, develop training guides etc whereas Publisher is used for deploying the deliverables either online on the web or in the form of printed manuals. Oracle Tutor includes a repository of process and courseware documents that can be easily customized to suit the company's requirements. It is widely used both for developing courseware as well as business processes; this article highlights the use of Oracle Tutor from the process side. With Oracle's repository of Model processes, integrating the unique process flows of a company with the Oracle system is much simpler. The step-by-step instructions laid down in the model can be customized to the way a company does business. A properly defined business process helps in a better understanding of the issues that might arise during the implementation phase.
Training End-Users
Training the employees is one of the most critical factors in the success of any system implementation. The task becomes more challenging when there is a complete change in the system e.g. company makes a change to Oracle from another vendor. Even in an existing system, if there is a change in the way a company does business, they have to be communicated to the users. Oracle Tutor ensures that the most current process is always available to the end users and makes training a manageable task. Needless to say, these help the end-user in understanding the company policies, and the various tasks involved in the completion of an activity. The following are some common types of process documents that can be done using Oracle Tutor
- Procedures
- Reference documents
- Forms
- Instructions
These process documents are interlinked and also refer to Oracle Applications On-Line Help, wherever necessary. The heart of a process is the Procedure. A Procedure documents the steps required to complete an activity and the person responsible for doing them. Procedure is comprised of several segments such as Scope, Responsibility, Ownership, Actors etc. A process document in the form of a Procedure could be supported by References, Forms, or Instructions, if required.
Benefits of Oracle Tutor
Some of the benefits of using Oracle Tutor include
- Helps document the critical business processes of a company
- Integrates the unique business process of a company with the Oracle Application tasks
- Helps customize Oracle Apps on-line help files. Oracle Applications on-line help can be customized to meet the specific requirements for a company. As is well known, the on-line Help is generic and does not detail the company's unique process. Oracle Tutor provides the capability of customizing this.
- Facilitates end-user training and reduces the lead time required to train an employee for a particular task. Oracle Applications navigation can be bit confusing to the novice user. The same task can be performed through different methods. By listing the steps necessary and the navigation path required for completing an activity, Oracle Tutor is a good comfort level even to an experienced user
- Facilitates version control
- Ensures that the most current process documents are always available. Oracle Tutor provides sufficient checks and balances and ensures any change in a business process is documented and communicated to the end users. The process documents can be made available on-line in the company's intranet, or can be printed and given to the end users as a reference guide.
